Spending: purchases and expenses in one list
Everything that went out on one screen, and why purchases and expenses stay separate records.
Spending shows the money going out on one screen: what suppliers billed you and everything else you paid on a receipt, in one list, newest first. A Type column says whether each row is a purchase or an expense.
Two records, on purpose
The list is combined. The records underneath it aren't.
| Purchase | Expense | |
|---|---|---|
| What it is | A supplier's bill, with lines | A receipt, with one amount |
| Has lines | Yes | No |
| Something to arrive | Yes, you receive it | No |
| Changes stock | Yes, for tracked items it names | Never |
| Typical thing | 5 kg of wax, 200 tins | Fuel, the stall fee, the software |
Stock is why they're separate. Receiving a purchase books tracked items in, which writes a stock movement and moves the item's average cost, and every valuation, margin and cost-of-goods figure in OrderDen is built on that average. An expense has no lines to receive, so it never enters that chain.
Which do I record?
Raise a purchase when there's a bill with lines on it, something you're waiting for, or something that goes into stock. Receiving a purchase is what gives your materials a cost.
Record an expense for everything else: one amount and a photo of the receipt.
If you wouldn't chase the supplier for it, it's an expense.
Both use the same category list, so the spend reports and the year-end tax summary see them together.
The screen
Three tabs:
- Everything: both kinds in one list. Filter by type, vendor, category or dates; sort by type, reference, date, vendor, category, status or amount; pick your columns; save a view; export to CSV.
- Purchases: purchases on their own, with their own filters: status, Delivery → Awaiting receipt, vendor, category, order dates and archived.
- Expenses: expenses on their own, grouped by month, with their own Show filter: To review, Waiting to re-bill and Repeating. Each month's total covers the rows on the page you're looking at.
Three buttons start a record: New purchase opens the purchase form with its lines, and Add expense or Photograph a receipt takes an amount and a picture.
Members allowed to see costs get a line above the list with how many entries, the total spent and what's still owed to suppliers. Those totals include draft and canceled purchases.
The columns
Type shows a badge. Point at it: a purchase says receiving it puts stock on the shelf, and an expense says it never touches stock.
Status reads differently on each. A purchase shows how far along it is: Draft, Ordered, Partially received, Received, Partially paid, Paid or Canceled. An expense is already paid, so it shows To review (drafted from a photo and not confirmed yet), To re-bill (spent for a client and not on an invoice yet) or Recorded.
Detail, Tax and Balance are hidden until you turn them on under Columns. Balance is what's still owed on a purchase; an expense shows a dash, because the money has already gone. It's offered only to members allowed to see costs.
Archived purchases are left out. They're still on the Purchases tab with the Archived filter.
In the reports
Reports → Expenses by category and the tax-time summary read both kinds through the shared categories, and the accounting export writes bills and expenses separately, the way your accountant's software expects.
On the API
GET /api/v1/spending returns the combined list, each row with kind and
movesStock. It's read-only: create and edit through /purchases and
/expenses. See the API reference.
