Plans & billing
Free and Unlimited: the 50 free invoices, the price per seat, yearly billing, codes, referrals and refunds.
OrderDen has two plans and no add-ons. Both are the whole product: clients, catalog, quotes, orders and shipping, invoices and payments, purchasing, stock and making, projects and time, the public API, the client portal and the activity trail. They differ in three things: how many invoices you can raise, how many people can sign in, and how fast the API answers.
Plans
| Plan | For | Invoices | People | API requests |
|---|---|---|---|---|
| Free | Trying it out | 50, over the life of the workspace | 1 | 60 a minute per key |
| Unlimited | Anyone selling for a living | Unlimited | $19 for the first, $5 for each one after | 300 a minute per key |
Every new workspace starts on Free. There's no trial clock and no card.
Free is one workspace per person. If you own a workspace on Free, you can't start another from Settings → Workspaces until that one is on Unlimited. Workspaces you've been invited into don't count, whatever plan they're on.
Free's 50 invoices are for the life of the workspace
50 is the total number of invoices a free workspace ever raises, not 50 a month. There's no reset and nothing to top up. Everything you've made stays readable, printable and editable, and quotes, orders, stock, purchasing and the rest keep working.
Only invoices count. Quotes, orders, credit notes, purchases, expenses, shipments, payments, clients, items, stocktakes, projects and time entries are unlimited on Free.
Imported history doesn't count. Invoices from before you started, loaded through the importer or typed in as opening balances, never touch the 50. Bring in two years of unpaid invoices on your first day on Free and you still have all 50.
A restored archive does count. The sent invoices a restore adds are invoices raised in OrderDen, so each one uses one, on either plan. Invoices the workspace already has aren't counted twice. On Free, a restore that would take you past 50 is refused before anything is written.
Sending an invoice is what uses one. A draft doesn't count, and deleting a draft costs nothing. Once an invoice leaves draft it has used one for good: deleting it, voiding it, writing it off or putting it back to draft doesn't give it back, because the client has the number. So the figure on your dashboard is what you've ever sent, not a count of your invoice list.
When you've sent 50, no new invoice can be created, not even a draft, and drafts you'd already saved can't be sent, until you move to Unlimited.
Seats
A seat is anyone in the workspace, plus any invitation not yet accepted. Invitations expire after 14 days, and an expired one stops counting. Every role uses a seat: owner, admin, member, viewer and accountant alike. Free has 1. On Unlimited you buy as many as you need, with no maximum, and invite people into them.
Your bookkeeper costs the same $5 as anyone else. See Roles, permissions, two-factor and sessions.
What "unlimited" includes, and its limits
- Documents and records: no limit. Invoices, quotes, orders, credit notes, purchases, clients, items, stock movements, projects, time entries and shipments.
- Attachments: no limit on how many, with each file up to 10 MB. Fair use is 200 GB per workspace; past that, we get in touch. A workspace can upload up to 300 files an hour.
- The public REST API: on both plans, with no monthly
quota. The one limit is per minute: 60 requests a
minute per key on Free and 300 on Unlimited.
Over it, requests are refused with a
rate_limitederror and work again the next minute.
What Unlimited costs
$19 a month for the first person and $5 a month for each one after:
| People | Monthly | Yearly |
|---|---|---|
| 1 | $19 | $190 |
| 2 | $24 | $240 |
| 3 | $29 | $290 |
| 5 | $39 | $390 |
| 10 | $64 | $640 |
Yearly is about 17% off on every seat: $190 a year for the first person and $50 a year for each one after.
Your first checkout is always monthly. Switch to yearly, or back, from Account & Billing. Switching charges or credits the difference for the rest of the period right away, and your billing date moves to the day you switched. Otherwise you're billed on the day of the month you subscribed, not the 1st.
Sales tax
Every price above excludes sales tax. Where it applies, it's worked out from the billing address you enter at checkout and added on top, shown before you pay and on every renewal and adjustment after. Your invoices and receipts show the tax on its own line.
The billing address is the one you enter at checkout. Changing your company address in Company Settings → Profile doesn't change it.
Buying and removing seats
On Unlimited, seats are bought, and inviting someone needs an open one. The owner buys them with Add seats on Plan & usage:
- Enter how many. You see two figures before anything is charged: what's due now, prorated for the rest of the period, and what the next renewal comes to for every seat.
- Press Pay. The prorated amount is charged immediately, and the seats open once the payment goes through. You get the receipt on the spot.
- Invite people into them whenever you like. An unused seat keeps billing at each renewal until you remove it.
If the card is declined, or needs you to confirm the payment, the seat count doesn't change: pay the invoice from the link shown and the seats open then.
A pending invitation holds a seat from the moment you send it. Withdraw it, or let it expire after 14 days, and the seat is open again. Removing a person frees their seat too. None of that changes the bill.
Removing a seat. Only an open seat can be removed: one with nobody in it and no invitation waiting. It comes off right away, with no credit for the rest of the period. Free a seat first by removing the person or withdrawing the invitation.
Buying, changing and canceling
It's in Account & Billing. Buying, switching and canceling are for the owner, and so is buying and removing seats. Admins can invite and remove people in Members & invitations, into the seats already bought. An admin's Account & Billing opens there, and the owner-only pages are not in their menu.
- Move to Unlimited: a secure checkout page, starting with your own seat. On Free there is a Yearly button beside it, so you can pay for the year from the start. When you come back from checkout, the page updates to your new plan by itself. After that, changes apply to your subscription straight away.
- Switch to yearly, or Switch to monthly.
- Manage billing: the billing portal, where you change the card, download past invoices and receipts, or cancel.
On a demo copy of OrderDen, the workspace has a made-up subscription so the billing pages have something to show. Those pages say so where Manage billing would be, and the plan buttons and the code box aren't there. Start a workspace of your own to buy a plan.
Canceling keeps the plan until the end of the period you've paid for, then moves the workspace to Free. Nothing is deleted: moving plans never touches your data. Invoices over the 50 stay where they are; the limit only affects what you create next. When a Free workspace has used them all, New invoice says so in place of the form, with the button to move up.
Free has 1 seat, and it's the owner's. If the workspace still has other people in it when it moves to Free, they're locked out: signing in shows a page saying there's no seat for them and who holds it, and their API keys stop working. Nobody is removed and none of their work goes anywhere. They're back in as soon as you move to Unlimited again, or you remove people in Members & invitations until the workspace fits.
If a card payment fails, we retry it and your plan stays as it is meanwhile. Account & Billing shows the status so you can fix the card in the portal. If the retries run out, the workspace moves to Free.
Discount codes
If we've given you a code, there's a box for it at checkout: Add promotion code, under the order summary. A code can take money off one bill or several, depending on the code.
Once it's on, Account & Billing → Payment method & invoices shows the code and what it takes off, with the list price struck through beside the real total. A code with an end date says when the full price starts again.
Already subscribed? There's a Promotion code box on Payment method & invoices, under the subscription. Type the code and press Check code: it tells you in plain money what the code does ("the next 3 monthly bills are free. Then $29 a month, as now.") and changes nothing. Press Apply this code and it goes onto the subscription from your next invoice.
A subscription carries one code at a time, so the box isn't there while a discount is running. If you have a second or a better code, write to us and we'll swap it. A code that has expired, run out of uses or is for a first purchase only says so when you check it.
On a yearly plan, a code that repeats for some months must cover twelve. Months count the same whatever you're billed on, so a three-month code on a yearly plan would cover the whole year's bill. Checking one says so and stops there. Write to us and we'll make it twelve months or put its value on your account as credit. For the same reason, Switch to yearly waits while a code or a referral month with less than a year to run is still going: switch once it ends, or write to us and we'll put what's left of it on your account as credit.
Referred by a partner?
If someone sent you here with a referral code, it goes in the Referral code box on the sign-up form. Their link fills it in, or you can type it. If you sign up with Google, the box is on the next page, where you name your workspace. A code that's wrong, inactive or your own says so; clear the box to sign up without one.
A referral makes your first month of Unlimited free. It's applied at your first checkout, whenever that is: stay on Free as long as you like and the month is still there. It applies to your first subscription only, and a referred checkout has no promotion code box, because a subscription carries one discount at a time.
Nothing about the referral is stored in your browser. The partner earns 50% of your first 6 paid charges, so their payouts show whether you've paid, and nothing else about your workspace is shared with them.
Refunds
The charge that started or last renewed your plan can be refunded in full, by you, within 14 days. No reason and nobody to ask. Switching from monthly to yearly charges for the year straight away, and that charge counts: it's the one the button refunds. Charges for seats bought mid-period can't be refunded this way.
Account & Billing → Payment method & invoices shows that charge with a Request a refund button while the window is open, and the date it closes. The button asks you to confirm, because a refund isn't the same as canceling:
- The charge goes back in full, to the card it came from. It usually takes five to ten days to arrive.
- Your subscription ends right away and the workspace moves to Free.
- Nothing is deleted. Every client, quote, order, invoice and attachment stays, and you can pick a plan again whenever you like.
A refund puts the workspace on Free straight away, so it's refused while anyone else is in the workspace or an invitation is waiting. Remove them in Members & invitations first.
Once the 14 days have passed, the button is gone and the page says so. Write to us if you have a special case.
Yearly isn't refunded for the months you don't use. Canceling partway through a year stops the next renewal and keeps the plan until the year ends. On yearly, decide inside the 14 days.
Account credit
We sometimes put credit on a workspace's own bill: a goodwill gesture, help moving from another tool, an apology when we've got something wrong. It comes off your next invoice automatically: $10 of credit against a $17 invoice charges $7. It isn't cash and can't be refunded, and anything unused stays if you cancel. See Account credit.
If we write to you about your plan
When a Free workspace uses up its 50 invoices, we sometimes email the account holder, usually because there's a code we can offer. It's one person writing to one account. There's no mailing list, and the address is never given to anyone outside the services listed in the Privacy Policy.
If you'd rather we didn't, say so and we stop. Reply to the email, or write to us through Support, and we mark the account. You don't have to give a reason, and it changes nothing else: not your plan, not your allowance, and not the email the software has to send you, like a password reset.
Where to see all this
- The Dashboard shows a plan panel on Free: the invoices you've sent against the 50, with a warning once the last ten are near. On Unlimited there's no panel.
- Account & Billing → Plan & usage shows your plan, the invoice count, the seats and what they cost, your attachment total, your API calls over the last 30 days, and on Unlimited the Plan renewal date.
- Account & Billing → Payment method & invoices shows the subscription line by line (the first seat, the other seats, the total, monthly or yearly, and when it renews or ends), the charge you can still refund, your account credit and the promotion code box.
Everything on this page is on the free tier: one person, the whole product, no card.
